Should we build this or buy something off the shelf?
Buy, if something off the shelf fits. We will say so. Building earns its cost when the process is genuinely yours and bending a product to fit it costs more than the product saves.
Can it connect to the systems we already run?
Yes, and usually it must. Accounting, CRM, identity and file storage stay where they are; the platform reads and writes to them rather than replacing them.
How do we move existing data in?
Migration is part of the scope and is rehearsed before cutover. Spreadsheets and exports from an old system are the normal starting point, not an obstacle.
What does the first phase usually cover?
